Managing Shared File Permissions

Control who can access your shared files and folders, and what they can do with them.

Understanding Share Types

🔗 Public Links

Anyone with the link can access the file. No Felicloud account needed. Best for sharing with external users.

👥 User Shares

Share directly with other Felicloud users. They see the shared files in their own account.

📧 Email Shares

Send a share link directly to an email address. Recipients get a notification with the link.

📁 Folder Shares

Share entire folders including all contents. Changes sync for all users with access.

Permission Levels

Available Permissions

👁️
View Only (Read)

Recipients can view and download files but cannot make any changes.

✏️
Can Edit

Recipients can view, download, and modify files. For folders, they can add new files.

📤
File Drop (Upload Only)

Recipients can upload files to a folder but cannot see existing contents. Great for collecting files.

Setting Permissions

1. Select the File or Folder

In the web interface or app, find the file or folder you want to share and click the share icon (usually a person with a plus sign).

2. Choose Share Type

Select how you want to share:

  • Enter a username or email for direct sharing
  • Click "Share link" for a public link

3. Configure Permissions

Click the three dots (⋯) next to the share to access permission settings. Choose the appropriate permission level for each recipient.

4. Set Additional Restrictions

For public links, you can add:

  • Password protection: Require a password to access
  • Expiration date: Link stops working after a date
  • Download limit: Limit number of downloads
  • Hide download: Prevent downloading (view only)

Security Features for Shared Links

🔒 Password Protection

Add a password that recipients must enter to access the shared content.

TipShare the password through a different channel (e.g., text message) than the link itself.

📅 Expiration Dates

Set an expiration date after which the link automatically stops working. Useful for time-sensitive shares.

🚫 Disable Downloads

Allow recipients to view files in the browser but prevent downloading. Works for documents, images, and videos.

Managing Existing Shares

Keep track of and manage all your shared files:

1. View All Shares

Click "Shared" in the left sidebar to see all files you've shared and files shared with you.

2. Modify Permissions

Click the share icon on any shared item to view and modify permissions for each recipient.

3. Revoke Access

To remove someone's access, find their name in the share panel and click the trash icon or "Unshare".

Good to knowRevoking access is immediate. The recipient will lose access the next time they try to access the file.

Best Practices

  • Use minimum necessary permissions: Don't give edit access if view-only is sufficient
  • Set expiration dates: Always set an expiry for temporary shares
  • Password-protect sensitive files: Add passwords for confidential information
  • Review shares regularly: Periodically check and clean up old shares
  • Use user shares over links: When sharing with Felicloud users, direct shares are more secure
  • Don't share entire root: Share specific folders, not your entire storage

Share Notifications

Stay informed about sharing activity:

  • Email notifications: Get notified when someone shares with you
  • Activity log: View sharing activity in the Activity app
  • Browser notifications: Real-time alerts when logged into the web interface
